The City of Fremantle is currently seeking to appoint a Records Support Officer to provide a records management service to the organisation, including the provision of records management advice, and maintenance of the Electronic Document and Records Management System (EDRM) in accordance with legislative requirements.

Key Responsibilities

• Ensure incoming records are captured and classified accurately, correctly and made accessible in a timely

manner, through effective scanning, indexing and entry into the City’s electronic document and records

management system.

• Manage incoming and outgoing physical correspondence, ensuring accurate handling, distribution, and

integration into recordkeeping systems where required.

• Ensure timely retrieval and availability of records by managing file requests and coordinating access to

archived materials as required

• Maintain organisational compliance and reduce information governance risk by managing the lifecycle of

corporate records, including sentencing, archiving, and coordination with offsite storage providers, in

accordance with legislative requirements, policies, procedures and best‑practice standards

• Improve the efficiency and effectiveness of records management services by proactively identifying and

recommending enhancements to systems, workflows, policies and practices.

• Maintain and support the Electronic Document and Records Management System (EDRMS) to ensure

reliability, usability, and alignment with organisational needs.

• Support data integrity and the consistent application of records processes by providing clear guidance and

delivering training to staff on records management procedures and EDRMS and e‑form usage.

• Perform any other accountabilities or duties as directed which are within the employee’s skill, competence

and training.

 

To be considered for this position, you will need

• Effective organisational and time management skills, with the ability to meet strict deadlines.Welldeveloped data processing and computer skills.

• Excellent attention to detail and accuracy. Ability to apply the appropriate level of discretion, confidentiality

and accuracy when handling sensitive and confidential information.

• Demonstrated ability to work effectively both independently and as part of a team with minimal supervision.

• Strong interpersonal skills with the ability to communicate with a wide range of people and groups to

ensure delivery of a high level of customer service.

• Understanding of records management legislative requirements, principles and practices.

• Nationally Coordinated Criminal History Check (3-yearly renewal)
