ABOUT THE ROLE

The position will administer general functions in the areas of Customer Focus, Procurement, Finance and Administration and general ad-hoc duties in an accurate and efficient manner to the Plant, Fleet and Mechanical Services department.

KEY RESPONSIBILITIES

  • The provision of a full range of quality business services to the Plant and Workshop through the day-to-day maintenance of incoming correspondence, monitoring of incoming telephone calls, and general activities to ensure a smooth workflow and interaction between the Coordinator Plant and Fleet Services, staff, other Departments of Council and external customers.
  • Preparing quotes and/or maintenance work orders, maintaining plant repair and service calendar, maintaining plant management software, maintaining fuel access and fuel tags, processing invoices, payments, requisitions/ receipting, and orders.
  • Maintaining a high standard in administrative systems including, but not limited to Microsoft Office, Pathway Requests (electronic customer requests – not currently done), Trim correspondence (records management system) and Tech One (purchasing system) and other administrative systems.
  • Preparation of agendas, minute taking, as well as accurate record keeping for meetings minutes.
  • Ensuring that a customer service focus is always maintained and represent Council in a professional and courteous manner.
  • Analysing data and preparing reports as required
  • Undertake other duties as required

ABOUT YOU

The successful applicant will have:

  • Demonstrated experience in effective and efficient office administration
  • Demonstrated ability to manage multiple tasks in a timely manner 
  • Experience in dealing with internal and external customers
  •  Ability to work both independently and as a member of a team
  •  Ability to produce work of a high quality and accuracy
  • Demonstrated experience in the use of the computer including word processing and other related software packages (e.g. Word, PowerPoint, Excel, Microsoft Outlook)
  •  Knowledge of Work Health and Safety practices, the principles of Equal Employment Opportunity, ethical practice and multi-cultural diversity
  • Well-developed interpersonal, written and verbal communication skills
  • An understanding of record management procedures, including handling and maintaining confidential information
  • Strong understanding of customer needs and taking actions to ensure customer satisfaction
