2x Administration Officers - Infrastructure & Fleet

We're currently looking for two Administration Officers to join our team!
 
As an Administrator within the either the Infrastructure or Fleet team/s at Diamantina Shire Council, you can expect to be responsible for providing administrative support to your, contributing to the day-to-day operations ensuring timely, effective and responsive service delivery of duties associated with either maintenance and construction infrastructure, or assisting with the procurement and maintenance of fleet, plant and equipment. 
 
These two separate positions provide administrative support across organisational teams being flexible and adaptable, as required.
 
Roles and responsibilities could include, but are not limited to: 

• Ensuring timely, effective and responsive service delivery of duties associated with the relevant discipline (infrastructure or fleet)
• Assist with procurement of service providers, parts and materials including liaising with stakeholders to seek quotations and in the preparation and coordination of tenders
• Assist with the implementation of Council’s management plans
• Assist with meeting agendas and transcribing minutes
• Preparation of reports, spreadsheets and presentations.
• Reviewing, developing and maintaining procedures, forms, checklists and registers to ensure that accurate records are maintained.
• Coordinate with communications from governing bodies
• Reconciling costs to budget, preparing requisitions, producing reports on expenditure and preparing claims.
• Collate data, prepare statutory reports, and ensure regulatory/legislative compliance
• Assist with procurement of service providers, assets and materials including liaising with team members, contractor management and the preparation and coordination of quotations and tenders.
• Receiving and processing customer requests and liaising with customers
• Ensure records and information is recorded and is easily retrievable 

Experience and qualifications    

• Demonstrated experience in an administrative support role, preferably in a local government or within the relevant field
• Demonstrated knowledge and / or experience in maintaining and updating policies, procedures and systems in a similar environment.
• Demonstrated ability to manage multiple tasks and to implement time management principles to prioritise work and meet deadlines.
• Excellent verbal, written, communication and interpersonal skills with proven ability to effectively communicate and liaise with all levels of internal and external customers.
• Ability to work with minimal supervision to apply processes and procedures relevant to the work area, with accuracy and attention to detail, and to use initiative demonstrating a high level of ethical standards.
• Demonstrated ability and experience in using MS Office including Outlook, Word and Excel.
• Ability to operate effectively in a team, contributing positively to team operations and working relationships in a professional and flexible manner.
• Demonstrated commitment to Workplace Health and Safety policies and procedures.
