About the role

We’re looking for a detail-driven Business Support Officer to join our Building Services team within the Development and Regulatory Group at Palmerston North City Council.

In this busy and varied administrative role, you’ll help provide administrative support for our Building Services function, ensuring building inspections and compliance processes run smoothly and efficiently. You’ll work closely with internal teams, contractors, builders, and the public.

This is a full-time role, 40 hours per week, Monday to Friday for a fixed term of 9 months.

Your focus in this role will include:

  • Assisting with booking and managing building inspections and coordinating calls to the Building Services phone line.
  • Preparing reports and compiling statistical information for internal use and reporting.
  • Supporting document processing, file management, and multiskilling across the team.
  • Providing front-line support and timely communication with builders, agents, consultants, and residents.
  • Maintaining accurate data in Council systems and supporting continuous process improvement.

About you

You’ll thrive in this role if you’re an organised, adaptable professional who enjoys variety, problem-solving, and contributing to a high-functioning team.

To be successful in this role you will have:

  • Strong administrative experience, ideally in a technical, compliance, or customer-facing environment.
  • Proven proficiency in Microsoft Office (especially Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong data entry and attention to detail, with the ability to meet timeframes under pressure.
  • A self-motivated approach and the ability to adapt to shifting priorities.
  • A willingness to learn internal systems and work collaboratively across teams.
  • Familiarity with Authority Altitude or Total Quality Management (TQM) processes is a bonus, but not essential.
