About the Role

We’re looking for a proactive and organised Project Coordinator to join our Capital Delivery Unit. In this role, you’ll provide coordination and administrative support across our capital works programme, helping ensure projects are delivered on time, within budget, and to the right quality.

You’ll assist with project planning and scheduling, maintain project documentation, and help prepare reports, governance papers, and meeting minutes. You’ll also support project managers with financial administration, including budgets, purchase orders, invoices, accruals and Waka Kotahi claims, as well as tracking risks, issues and interfaces across projects.

Alongside this, you’ll provide general administrative support to the wider group – from coordinating meetings and room bookings to supporting regular reporting processes and good information and records management.

About You

You’re an experienced Project Coordinator who enjoys keeping things organised, supporting others to deliver, and working as part of a busy, supportive team. You’re comfortable juggling multiple tasks, have great attention to detail, and communicate clearly with people at all levels.

You will bring:

  • 3+ years of experience as a project coordinator, ideally in a complex capital works or infrastructure environment
  • The ability to work positively and productively with stakeholders, colleagues and team members
  • Experience maintaining project finances and preparing reports, presentations and other project artefacts
  • Strong MS Office skills (Word, Excel, PowerPoint); experience with MS Project or similar tools is an advantage
  • A customer and community-focused mindset, with the ability to understand and prioritise needs
  • Openness to change, a continuous improvement mindset, and a willingness to support others during busy periods
